After a - hopefully - successful recruiting process, you have to close the job in the eRecruiter for the following reasons:Â Â
- the job is not published on the applicant portal or any other channels anymore
- it will be documented in the statistics correctly
- you can recject all other applicants on this job automatically, and avoid to forget someoneÂ
You don't have to set all these actions manually, you can simply use the button "close job".Â
In the following step you can define if the job is occupied, type a note for the job history and decide if you want to reject all other applicants (except that one, who got the status "hired").Â
If there are several applicants still in the recruiting process of this job, you can reject them comfortably with a bulk email/communication or send separate emails to each applicant, for example if you want to use different text templates. Â
So after saving, you first have to choose the communication type for the first applicant.Â
In case of email communication you can now edit every single email separately or send the same email template to every applicant automatically by checking the box "perform similar activities automatically".Â
Of course you can be sure that every email is addressed correctly to the applicant by using placeholders in the email templates for the name and so on.Â
The job will be deactivated on all publication channels automatically (incl. applicant portal/website) and gets the status "occupied".Â
From now you can find this job in the menu "jobs" - "filled positions" and can duplicate or re-open it at any time.Â

Advanced Statistics about filled jobs
There is the possibility to filter jobs filled by the hired applicants. For this statistics to work it is important that the appropriate workflow activity of hiring an applicant need to be done so that the filtering can work.
Logic of the advanced statistics filter
The advanced statistic filter returns all jobs for a specific date range which status is Filled. This status can be set in the action of closing a job (described above).
The date range filters the "Planned start date" of an applicant, not the date when the Filled status was set in a job.Â
If this this information is not filled for the hired applicant, the filter will always return the same filled jobs.
Workflow activity setting for hiring an applicant
In order to fill out additional fields for storing data about a hired applicant, and consequently in order for the Filled jobs statistics to work, the appropriate redirect URL needs to be set up for the final workflow activity of Hiring an applicant/Applicant accepting an offer.
Set up "Applicant accepts/job filled" redirect URL for the workflow activity.
The fields will come up in the modal as a second step of the hiring workflow activity, including the Planned start date.Â
The fields also appear next to the Accepted applicant in the Job overview page, and can be modified later on.
